The Legal Assistant will provide direct administrative support to attorneys within the EMEA team. This role is essential in maintaining the confidentiality of proprietary information and ensuring that tasks are completed accurately and efficiently. The Legal Assistant will report directly to a VP & Senior Counsel and play an integral role in the smooth functioning of the legal department.
Provide administrative support to up to 5 attorneys across various legal areas, such as Development, Franchise, Operations, and Asset Management.
Compose, type, merge, compare, format, proofread, and transmit legal documents and correspondence.
Prepare and revise legal documents, including contracts, memos, agendas, and presentations.
Assist with transaction closings, including the preparation of execution documents and powers of attorney.
Maintain confidentiality and security of proprietary materials and information.
Organize and track the status of projects and correspondence, ensuring timely responses.
Coordinate and manage calendars for attorneys and senior leadership, handling meeting logistics and high-priority scheduling issues.
Organize and schedule meetings and conference calls, including the preparation and distribution of meeting materials.
Handle travel arrangements, including transportation, lodging, and visa coordination, and prepare expense reports.
Manage databases (e.g., iManage), ensuring updated records and accurate document management.
Serve as a liaison between attorneys, Marriott employees, and external counsel.
Perform document filing and organization tasks, both digital and paper-based.
Review and forward incoming legal documents to the appropriate attorney.
Provide backup support for other legal assistants as needed during absences.
Ensure office supplies are stocked, and office equipment is functioning properly.
Education: High School diploma or equivalent required.
Experience: Minimum of three years of secretarial experience in a law firm or corporate department is preferred but not essential.
Skills:
Proficiency in MS Office (Word, Outlook, PowerPoint); experience with Teams, SharePoint, and iManage or similar database programs is a plus.
Strong attention to detail, organizational skills, and ability to manage multiple tasks with a high sense of urgency.
Ability to work under pressure in a fast-paced environment, prioritizing tasks effectively.
Strong written and verbal communication skills in English.
High level of professionalism, diplomacy, and tact.
Strong proofreading, typing, and word processing skills.
Ability to work independently and as part of a team.
Integrity in handling confidential matters.
