The Legal Assistant will provide essential administrative support to attorneys within Marriott’s Europe, Middle East, and Africa (EMEA) team. The role is crucial in assisting with the preparation and management of legal documents, handling confidential materials, and ensuring tasks are completed accurately and efficiently. The position is based in Dubai and reports directly to the VP & Senior Counsel.
Administrative Support: Provide direct support to up to 5 attorneys, assisting with administrative tasks including composing, formatting, proofreading, and transmitting legal documents and correspondence.
Document Preparation: Prepare, revise, and edit legal documents, presentations, agendas, memos, letters, and spreadsheets.
Transaction Closings: Assist in preparing for transaction closings, including execution documents and powers of attorney.
Document Management: Maintain accurate filing systems, both digital and physical, for legal documents, ensuring confidentiality and security.
Coordination: Track project status, handle execution of legal documents, and coordinate with signatories and outside counsel as needed.
Database Management: Update and maintain information in databases such as iManage, ensuring accurate record-keeping.
Meeting & Travel Coordination: Organize meetings, schedule conference calls, and handle travel arrangements for the legal team. Ensure logistics, accommodations, and expense reports are managed efficiently.
Communication: Act as liaison between the legal team, other Marriott employees, and outside counsel, ensuring smooth communication and effective workflow.
General Assistance: Assist with overflow work from the Executive Assistant/team leader and provide cover for colleagues during vacations or sickness.
Experience: A minimum of three years of secretarial experience in a law firm or corporate department is preferred but not essential.
Skills:
Proficiency in MS Office (Word, Outlook, PowerPoint), with the ability to learn and utilize tools like Teams, SharePoint, and iManage.
Strong attention to detail, with excellent proofreading, typing, and grammar skills.
Strong organizational skills with the ability to prioritize tasks effectively and manage a high volume of work.
Ability to work well under pressure and meet deadlines in a fast-paced environment.
Impeccable integrity, especially in handling confidential matters.
