Centre Support Executive Full Time NEW

Job Purpose

Act as the face of the Centre, ensuring smooth day-to-day operations, compliance with educational standards, and excellence in service delivery to parents, children, staff, and external stakeholders. You’ll manage administration, safety, staff coordination, finance, admissions, and parental relations across a vibrant, values-driven nursery environment.

Key Responsibilities

• Operational & Administrative
  Act as a brand ambassador, promoting the school’s mission, values, and curriculum.
• Ensure daily readiness of the nursery, including health & safety compliance.
• Maintain confidentiality of sensitive staff and student information.
• Oversee daily use and accuracy of the Kinderpedia application.
• Conduct daily risk assessments and ensure inventory is tracked and maintained.
• Support or lead implementation of company policies and procedures.
• Parents & Admissions
  Handle student admissions and enrollment procedures.
• Create and manage parent contracts, fee records, and student databases.
• Moderate child reports and weekly messages to parents.
• Manage complaints, provide timely resolution, and ensure excellent communication with caregivers.
• Education & Events
  Ensure curriculum is implemented to a high standard through daily classroom observations and assessments.
• Coordinate event planning and delegate staff roles.
• Work closely with curriculum and operations teams on updates and training.
• Staff Leadership
  Recruit, onboard, supervise, and evaluate team members.
• Maintain up-to-date staff files and coordinate staff meetings, probation, and reviews.
• Identify training needs and recommend professional development.
• Finance & Marketing
  Liaise with Finance for budgeting, fee collection, and procurement.
• Support social media updates in collaboration with the Marketing Team.
• Conduct Centre tours and contribute to admissions conversion targets.
• Issue invoices and ensure fee policies are clearly communicated and followed.
• Compliance & Government Relations
  Ensure compliance with KHDA, DHA, Dubai Municipality, and other regulators.
• Maintain government portals and implement inspection recommendations.
• Vendor Management
  Coordinate with external vendors for extracurricular programs and facility maintenance.
• Track and manage contracts, quotations, and inventory of nursery supplies.

Qualifications & Skills Required

• Fluent in English (spoken and written).
• Strong administrative and organizational abilities.
• Excellent interpersonal, communication, and problem-solving skills.
• Prior experience in nursery, preschool, or educational administration is highly preferred.
• Knowledge of KHDA/DHA compliance and early childhood best practices is an asset.
• Tech-savvy: Proficiency in Microsoft Office & Kinderpedia (or similar platforms).
